Supplier addendum executive summary dashboard
Use this dashboard when several late-evidence addendums, release-control rows and follow-up conditions are open at the same time. It turns the detailed worksheets into a management-level view: what is overdue, what has already been released, what can still harm the next order, and which rollback actions are now active.
Dashboard questions
- How many addendums are open, overdue, disputed, conditionally released or closed?
- Which open rows affect shipment, balance payment, next PO, supplier status or exception expiry?
- Which release conditions are still missing validated third-party, finance, inspection or archive proof?
- Which supplier should stay on hold, capped volume, backup activation or exit review?
- Which owner has the next dated action and what happens if it is missed?
Default color rules
Green: closed with archive proofYellow: open before due dateOrange: partial or conflicting proofRed: overdue / rollback active
The dashboard is not a replacement for detailed rows. It is a weekly management layer that points directly back to the source register, validation checklist, conflict worksheet, aging dashboard and release follow-up row.
Executive summary columns
| Column | What to summarize | Why it matters |
|---|---|---|
| Supplier / category | Supplier name, buying category and affected order group. | Shows where unresolved evidence is concentrated. |
| Open addendum count | Number of late-evidence rows still open, partial, conflicting or overdue. | Prevents a supplier from looking normal while several small exceptions remain unresolved. |
| Highest risk state | Validation pending, conflict unresolved, overdue proof, conditional release, rollback active or closed. | Lets management sort by the worst current exposure. |
| Release already allowed | Shipment, payment, next order, exception expiry or status release that has already happened. | Highlights where business risk has already moved downstream. |
| Next-order control | Normal, watch, cap, conditional PO, hold, backup source or exit review. | Connects addendum evidence to the next commercial action. |
| Owner / next deadline | One person or role, next action, date and escalation route. | Stops open proof from becoming background noise. |
| Management decision needed | None, approve closure, escalate supplier, activate fallback, hold payment, stop next PO or archive. | Turns the dashboard into an action list rather than a passive report. |
Weekly operating rhythm
- Pull all open rows from the addendum log, validation checklist, conflict worksheet, aging dashboard and release follow-up tracker.
- Group by supplier and mark the highest current risk state.
- Confirm whether any release has already happened before proof closure.
- Decide the next-order control before a buyer issues another PO.
- Archive closed rows and keep overdue rows on the dashboard until rollback is resolved.

Escalation thresholds
- Two or more open addendums for the same supplier: require category-owner review before new PO release.
- Any overdue release condition: keep payment reserve, next-order cap or fallback control active until proof is validated.
- Conflicting evidence plus conditional release: escalate to management decision instead of allowing automatic normalization.
- Repeated rollback triggers: move the supplier into restricted review, backup activation or exit-transition planning.
