Supplier addendum release-control register

Use this register when late supplier-review evidence has been logged, validated, disputed, aged or escalated, but the business still needs a decision on shipment release, balance payment, next order, exception expiry or supplier status. The rule: no release happens unless the addendum has an owner, evidence state, fallback control and dated approval condition.

When to open the register

  • An overdue addendum blocks payment, shipment, next-order release or exception cleanup.
  • A buyer asks to bypass missing proof because goods or deadlines are under pressure.
  • Evidence is partially accepted but still leaves a residual commercial, quality or document risk.
  • Two departments disagree on whether a supplier can return to normal controls.
  • A fallback supplier, reserve payment, partial release or capped repeat order may be needed.

Release classification

  • Normal release — evidence complete, risk closed, archive reference verified.
  • Conditional release — business release allowed only with reserve, split, cap or extra inspection.
  • Hold — release blocked until missing proof or contradiction is resolved.
  • Escalate — owner missed deadline, supplier refuses proof, or value exposure exceeds tolerance.
  • Exit / replace — repeated addendum failure or material evidence conflict makes continuation unsafe.
