Warranty and after-sales responsibility handover checklist
Use this checklist after shipment release and balance-payment decisions so unresolved warranty duties do not disappear once goods leave the factory. It converts vague after-sales promises into owners, documents, spare-part commitments, deadlines and review triggers.
Use it when
- The supplier says defects will be handled “later” after shipment or balance payment.
- Replacement parts, accessories, labels, firmware, manuals or packaging fixes must be sent after delivery.
- A claim reserve was held and needs clear evidence before release.
- The buyer needs a clean handover from purchasing/QC to warehouse, sales or customer-service teams.
Handover packet
- Final PO, invoice, packing list, inspection report and shipment release decision.
- Open defect or shortage list with photos, quantities, SKU/carton references and claim value.
- Supplier warranty period, exclusion language, response time and escalation contact.
- Agreed spare-part/replacement shipment method, cost owner and target delivery date.

30-day follow-up cadence
- Day 0: archive the handover packet and assign every open item to one supplier owner and one buyer owner.
- Day 3: confirm replacement / document / repair evidence is in progress, not only acknowledged.
- Day 7: check whether goods, files or credits have actually moved; escalate if there is no proof.
- Day 14: update claim reserve, scorecard and repeat-order gate.
- Day 30: close, extend with reason, or convert to supplier requalification / replacement review.
Supplier message template
“Before we close this shipment, please confirm the after-sales owner for each open item below, the evidence you will provide, and the exact completion date. Any warranty reserve or future order approval will remain linked to these closure records.”
Closure checklist
- Every open after-sales item has an owner, due date and proof requirement.
- Warranty and spare-part promises are stored with the PO or claim record, not only in chat messages.
- Finance knows which reserve can be released and which amount stays blocked.
- Repeat-order approval references the after-sales result before new volume is awarded.
